Privacy policy
Last updated 8 October 2026
This policy explains what information Runmind collects, why, and what you can do about it. Runmind is run by [Company legal name], [Registered office address] (“we”, “us”). If something here is unclear, write to [legal@runmind.ai].
Who is responsible for what
A business that uses Runmind (the “workspace owner”) decides what goes into its workspace: its people, records, tasks and files. For that content we act on the owner's instructions, as their processor. For your account, our website and our own marketing, we decide how information is used.
What we collect
- Account details: your name, email address, and, if your workspace adds them, your phone number and your Telegram or WhatsApp chat.
- Workspace content: flows, stages, records, tasks, notes, photos and files you or your team add, and the history of who did what and when.
- Connected apps: when you connect an app (for example Gmail, Google Sheets, Razorpay or Shiprocket), we store the access token or API key you give us, encrypted. We never ask for or store the password to those apps. We read and write data in that app only as your flows, automations and AI agents need, and we keep a log of those calls.
- Usage and device data: pages visited, actions taken, browser and device type, IP address, and error reports, so we can keep the service working and secure.
- Cookies and similar tools: a cookie that keeps you signed in, plus analytics, pixels and advertising tags on our website. More below.
How we use it
- To run the service: assign tasks, send reminders, run automations, connect your apps, and show reports.
- To sign you in, keep accounts secure, and prevent misuse.
- To answer support requests and send service messages, such as sign-in codes and task notifications.
- To understand how Runmind is used and improve it.
- To market Runmind, including measuring and showing our ads. We never use workspace content or data from your connected apps for advertising.
- To meet legal obligations.
AI features
When you use the assistant, AI stages or AI agents, the parts of your content needed for that request (for example a task, a record and its files) are sent to our AI model providers to produce a result. We use their business APIs, whose terms do not allow them to train their models on that content. AI output can be wrong; Runmind holds anything that reaches outside your company, moves money or deletes data until a person approves it.
Google user data
If you connect a Google account, Runmind's use and transfer of information received from Google APIs follows the Google API Services User Data Policy, including the Limited Use requirements. We use Google data only to provide the features you set up, we do not sell it, we do not use it for advertising, and people at Runmind do not read it unless you ask us to for support, it is needed for security, or the law requires it.
Who we share it with
We do not sell personal information. We share it only with:
- Service providers that run parts of Runmind for us, such as hosting and storage (Amazon Web Services, Mumbai region), email delivery, AI model providers, an integration platform that handles sign-in for some apps (Composio), and messaging (Telegram and Meta for WhatsApp).
- Apps you connect, when your flows or agents send data to them. Their own terms and privacy policies apply to that data.
- Analytics and advertising partners on our website, as described below.
- Authorities, when the law requires it, and a buyer or successor if the business changes hands, under the same protections.
Cookies, analytics, pixels and ads
We use a necessary cookie to keep you signed in. On our website we may also use analytics tools and advertising pixels (such as those from Google and Meta) to understand visits and to measure and show our ads, including on other sites. These tools may set cookies and collect device and usage information. You can block or delete cookies in your browser, use the ad settings of those platforms, or ask us to stop using your information for marketing. Blocking the sign-in cookie will stop Runmind from working.
How long we keep it
We keep workspace content while the workspace is active, and delete it when the workspace owner asks us to, except records we must keep by law. Disconnecting an app wipes its stored key or token straight away. You can ask us to delete your account at any time.
Security
Data is encrypted in transit. Keys and tokens for connected apps are encrypted at rest. Access to production systems is limited to people who need it. No system is perfectly secure; if a breach affects your data, we will tell you and the authorities as the law requires.
Your rights
Under India's Digital Personal Data Protection Act, 2023 and other laws that may apply to you, you can ask to access, correct or erase your personal data, withdraw consent, nominate someone to act for you, and raise a grievance. If your data is in a workspace run by your employer or another business, contact them first; we will help them respond. Write to [legal@runmind.ai].
Grievance Officer
[Grievance Officer name], [Company legal name], [Registered office address]. Email: [legal@runmind.ai]. We reply within 30 days.
Where data is stored
Runmind is hosted in India. Some service providers, such as AI model providers, may process data in other countries, under contracts that protect it.
Children
Runmind is for businesses and is not meant for anyone under 18.
Changes
If we change this policy in a way that matters, we will tell workspace owners by email or in the app before it takes effect.
